1. Who We Are

SaasPoint Technologies Pvt. Ltd. ("we", "us", "our") operates Kapish AI, a hotel management software platform accessible at kapishai.com. Registered in India.

2. Information We Collect

2.1 Account Information

Phone number (used for OTP-based login via Firebase)
Business name, owner name, address, GSTIN
Hotel details — room categories, pricing, settings

2.2 Business Data You Enter

Guest names, phone numbers, ID details (entered during check-in)
Booking records, billing, payments, invoices
Staff names, attendance, payroll information
Inventory, stock, purchase records
Night audit records and financial reports

2.3 Technical Data

IP address, browser type, device type
Usage logs — pages visited, features used
Error logs for debugging

2.4 Payment Data

Payments are processed by Cashfree Payments. We do not store card numbers, CVV, or UPI PINs. We only store order IDs, payment status, and plan information.

3. How We Use Your Information

To provide and operate the Kapish AI hotel management system
To authenticate your account via OTP
To process subscription payments via Cashfree
To power the AI Brain with your hotel's operational data
To send essential service emails (payment receipts, trial expiry notices)
To improve product features based on usage patterns (aggregated, anonymised)
To comply with legal obligations

4. Data Storage and Security

All business data is stored in Google Firebase Firestore, a secure cloud database with encryption at rest and in transit. Your data is stored in Google Cloud's infrastructure.

We implement: HTTPS for all connections · Firebase security rules · OTP authentication (no passwords stored) · Role-based access control for staff

5. Data Sharing

We do not sell your data. We share data only with:

Google Firebase — cloud storage and authentication
Cashfree Payments — payment processing
Anthropic / Claude AI — AI Brain responses (data sent to generate briefings; not stored by Anthropic)
Legal authorities — only when required by Indian law

6. Your Guest Data

Guest information (names, phone numbers, ID details) entered into Kapish AI belongs to you, the hotel operator. You are responsible for obtaining appropriate consent from your guests as required under Indian law, including the Information Technology Act, 2000.

7. Data Retention

Active accounts: data retained for the duration of your subscription. Cancelled accounts: data retained for 90 days, then permanently deleted. You may request earlier deletion by contacting us.

8. Your Rights

Access your data — request a copy of all data we hold
Correct inaccurate data
Delete your account and all associated data
Export your data before cancellation

9. Cookies

Kapish AI uses only essential cookies required for authentication (session tokens). We do not use advertising cookies or tracking pixels.

10. Children

Kapish AI is a business software platform not intended for use by anyone under 18 years of age.

11. Changes to This Policy

We will notify you of material changes via email or in-app notification at least 7 days before changes take effect.
